Procedures, forms and templates

To issue a circular, the following is required.

Publication of circulars shall not take place until all steps have been completed.

  1. Authorisation form:
    • current template used
    • checklist completed
    • sign off by the appropriate officer
    • appropriate file number and key words
  2. Circulars must use the current templates.
  3. Circulars and any attachments must be formatted correctly:
    • 12 point font size
    • Arial font
    • avoid underlining, hyphenation, all caps and italics
    • margins aligned to the left
  4. All documents must include metadata, content for the four fields is entered into the original Word document.

  5. Circulars, authorisation forms and attachments emailed in MS Word format. Attachments may be in MS Excel, Adobe Acrobat or other standard office software run at the Department of Health.
  6. A paper copy of the circular including all attachments along with the original signed authorisation form must be supplied.

Closing and issue days

Copy closes each Tuesday at 5.00 pm and the circulars are issued two days later on Thursdays.
